Terms & Conditions

STANDARD TERMS AND CONDITIONS

Hilton UK asks clients to be aware that wedding bookings are conducted on the basis of the following

CONFIRMATION AND PAYMENT

A provisional booking for the date of your choice will be held for 28 days. To confirm the booking Hilton Cobham

requires a written contract and a non-refundable deposit of £1,000.00. The booking is confirmed upon receipt of

the signed terms and conditions

Further payment is required as follows:

6 months prior - 50% of the outstanding balance

1 month prior – Remaining outstanding balance

Any additional costs must be settled on the day of the wedding. A credit/debit card must be taken in advance for

guarantee

CANCELLATION AND AMENDMENTS

Cancellation of a confirmed booking must be in writing and a cancellation fee will apply.

A cancellation fee is calculated as a percentage of the total booking value and shown below:

The Hotel will endeavour to re-let the bedroom and function space and a reduction of the cancellation fee will be

made in the event the Hotel is successful in doing so.

A minimum number of guests must be confirmed in writing to the Hotel at the time of booking. It is this figure,

which will act as the chargeable number of guests to be paid for. Final numbers must be given to the Hotel at least

21 days prior to the wedding.

EVENING CELEBRATIONS

Where an evening celebration follows on from a daytime sit down meal with us, we ask that you cater for a

minimum of 90% of the evening guests. Should you not wish to provide catering, a room hire charge may be

applicable.

DAMAGE

The client is responsible to Hilton UK, for any damage caused by the client or his guests, agents, employee’s etc.

HOTEL ACCOMMODATION

Hilton Cobham is pleased to offer competitive and guaranteed accommodation rates for guests attending your

Wedding and on agreeing your package, these bedrooms are offered at your agreed rates and can be booked in a

number of ways:

➢ Personalised Online Group – a basic webpage that enables you to send the web link to your guests so they

can arrange their own accommodation. This can also be customised with your special event details and

images; and with Guest List Manager you will be able to track who has arranged their accommodation at

any time.

Family Rooms, Wellness Rooms, Deluxe Rooms and Suites

CHECK-IN TIMES

Check-in time for accommodation is from 4.00pm. An early check in can be requested but not guaranteed. Check

out time is 11.00 a.m.

CAR PARKING

There is ample parking available at a first come, first served basis.

Parking charged at the prevailing rate.

All Taxi’s should be pre -booked and cannot be guaranteed by the hotel.
